REGISTRATION, DONATIONS, AND TAX RECEIPTS

Q: How do I register for a Tri4Dignity event online?
A: To register click on the Register button where you will be guided through the registration process.

Q: Can I choose which distance I want to race?
A: Yes, you can select from the Island Eighty™ or Island Forty™ distances.

Q: Does my registration fee count toward my fundraising total? Do I get a tax receipt for it?
A: The registration fee is an administrative fee and not a donation. It covers the administrative costs of ITS.  We are therefore not allowed to issue a tax receipt for this amount and it does not count toward your fundraising total.

Q: How do I set up my On-line Fundraising Page?
A: Please download the On-line Fundraising setup document to guide you in setting up your On-line Profile and Fundraising page

Q: How can I see who has donated to me?
A: Login to Active.com site and go to View Reports. When a donation is made online, you will automatically receive an email notifying you of the donor and amount.

Q Can I track my off-line donations?
A: Yes you can. Login to the Active.com site and go to Track Off-Line Donations and follow the instructions. Do not forget to periodically send in your donations to the Hala Inc. office.

Q Can you provide me with Tips to ensure my On-Line Fundraising is successful?
A: Absolutely. Please download the Fundraising Tips and Ideas document that provides useful tips to ensure your success.

Q: What is the best way for people to donate to my campaign?

A: On-Line
Online donations are by far the best method. Our website is secure. You will be advised by e-mail as soon as a donation has been made online, which will help you keep your records up-to-date.

We encourage your donors to donate online at http://www.active.com/donate/tri4dignity – it's the most efficient and secure way to send your donations.

You can direct friends and family to the ITS website at www.islandtriathlonseries.com/tri4dignity/registration.html, where they can donate to a participant by clicking on the ' Pledge' button.

A: By Mail/In Person
You can collect pledges and record the information on our pledge forms and mail them or drop them off  to us regularly so that we can keep your fundraising records up to date.  Do not mail cash donations. If you receive cash donations, deposit them in your chequing account and write a cheque to cover the full amount.

Q: Can I donate to my own campaign?
A: Absolutely.

Q: Why doesn't my Donation Summary agree with my records?
Note: It takes 5-10 business days to process donations after they have been received at ITS office.

A: The following are some common reasons why your records may not agree with the Donation Summary:

Your overall total doesn't match?

  1. Did you send your donation via “snail mail”? If so, it can take up to three weeks to process the donation. For example if you mail in pledges it will take a few days to two weeks for us to receive them and then process them.
  2. Did your pledge form match the amount of cheques (or money orders etc.) sent in? If the cheques do not match the information on the pledge form, this can cause lengthy delays. Please ensure that your writing on pledge forms is legible.

If your donation was put in the mail more than three weeks ago and is still not showing on your Donation Summary, please contact us via email at dan@halainc.com or call 1-866-413-4252 or 416-413-1454 ext. 221.

TAX RECEIPTS

Q: What amount do they have to give to get a tax receipt?
A: We will automatically issue tax receipts to all donors living in Canada and the USA who have given $10 or more on your behalf. Upon special request we will issue a tax receipt for a smaller amount. Please ensure complete addresses are included for your donors and that the writing is legible. Remember, if you can't read it, we probably can't either and we will not be able to issue a tax receipt to your donor.

Q: How soon will my donor receive their tax receipt?
A: Receipts will be sent by mail between December 15 and 31st, 2008 if donation is made in 2008 calendar year. For donations made in 2009, receipts will be issued by April 30, 2009.

Q: What should I do if one of my donors has not received a tax receipt?
A: E-mail us at dan@halainc.com or call 1-866-413-4252 or 416-413-1454 ext. 221.

GENERAL QUESTIONS

Q: What do I receive once I register for Tri4Dignity?

A: Once you have registered on-line you will receive the following…

  1. A fundraising manual with ideas and letter templates
  2. Training program from top triathlete coach Steve Bentley
  3. Pledge forms
  4. A letter of support on ITS letterhead, detailing the training and fundraising commitment you have made to the Tri4Dignity program.
  5. Comprehensive information on Dignitas International

Our  Tri4Dignity™ ambassador will contact you to answer any questions and provide you with tips to assist you with a fundraising plan that is right for you.  You can also email dan@halainc.com or call 1-866-413-4252 or 416-413-1454 ext. 221.

Q: How does Dignitas International utilize the donations?

A: Your contribution will go to building programs that will gain the knowledge to stop the spread of HIV/AIDS.  Go to www.dignitasinternational.org for more information.

Q.  How do I raise pledges?
A: We want to help you achieve your fundraising goal as easily as possible. Our ambassador will contact you to provide you with some guidance.  You can also email dan@halainc.com or call 1-866-413-4252 or 416-413-1454 ext. 221.  Download our fundraising guide which is resource tool to help you.

Q: Why are there fundraising deadlines? 
A: When you sign up for the Tri4Dignity™ program, you commit to raising the fundraising minimum of $5,000 CDN/USD and are required to complete our fundraising deadlines agreement. Fundraising deadlines have been put into place to assist you in staying on top of your fundraising and to ensure that the Tri4Dignity™ meets the deadlines imposed by accommodation and travel suppliers. These are deadlines rather than guidelines, and you will be required to meet them. It is incumbent upon the ITS never to put donors' dollars at risk.

Fundraising submissions and deadlines

  1. First deadline
    November 28, 2008 Submit $2,500 CDN/USD in pledges
  2. Final deadline
    January 2, 2009 Minimum $2,500 CDN/USD in pledges

Q: What happens if I don't manage to raise the minimum amount by a deadline?
A: Participants are required to meet their fundraising deadlines. Exceptions are made upon special request, but you may be asked to put the outstanding difference on your credit card (or provide a cheque). Fundraising can be a hard job, therefore, if you have made a deposit, you have until two months after the triathlon date to complete your fundraising. Once you reach your minimum fundraising amount, we will refund your credit card for the amount raised.

TRAINING

Q: What training information and support is available to me?
A: On our site we have provided you with some great training information under Triathlon Tips

Once registered as a Tri4Dignity™ Athlete we will email you a customized training document prepared specifically for the Island Eighty™ by top triathlete coach Steve Bentley.

Q: Do I need to qualify for your race by meeting a specific time?

A: There is no need to qualify for our individual races.  In future, when we launch our world championship race you will need to qualify.

Q: Is there a limit to the amount of Tri4Dignity participants that can sign up for an ITS event?
A: No – the more the merrier and the more funds raised for Dignitas International!

Q: What is included in my trip to the Triathlon?
A:
The following items are included:

  • Round-trip airfare to Turks & Caicos (there are increased fundraising minimums if you live outside Canada or the USA)
  • Accommodation for 6 nights, 7 days
  • $25 Registration fee discount
  • Invitation to the exclusive Premier’s Reception for pro-athletes, celebrities, sponsors and Tri4Dignity athletes only
  • Round trip transportation from the airport to the hotel
  • A Post-race party ticket
  • Customized Island Eighty™ Training program
  • Special Tri4Dignity gifting
  • All Tri4Dignity athletes will be entered into a Draw for a prize valued at $1,000 minimum

TRAVEL AND ACCOMMODATIONS

Q: When are travel arrangements made?
A: Our official tour operator is Skylink Holidays.  Once you have registered for the race, we will be in touch with you.   Travel bookings are only made if you have met our fundraising deadlines.

Q: What happens when I arrive?
A: You will be met at the airport by our Ambassador. They will be waiting in the area outside of the customs and luggage claim area with a Tri4Dignity™ sign. You will then be transferred by van to our group hotel.

Q: Can I extend my time and have a vacation after the race?
A: You are most welcome to extend your time in Turks & Caicos and travel on your own after the race is over. If you choose to stay on after the triathlon, you will be responsible for arranging your own accommodations, travel, etc. In some cases, Skylink Holidays Travel may be able to assist you.

Any change deviation fees will be the athlete’s responsibility.

Q: Can I bring a guest?
A: Guests are an important part of our team and we look forward to having them cheer you on at the race. Due to space limitations we will only guarantee availability for one guest per participant. If you are expecting more than one guest in your party, contact the ITS Office at dan@halainc.com to establish whether we are able to accommodate your guests.

The Tri4Dignity™ guest land package includes all the same benefits accorded to our athletes.  We will provide you with pricing.  Your guests will be provided with the following:

•  Shared accommodation for 7 nights with athlete at the group hotel
•  Round trip transportation from the airport to the group hotel
•  A Welcome Reception
•  Post-race party ticket

Guests are an integral part of all our events and we want them to share the incredible experience at the Triathlon. There will be a meeting for them on the day prior to the Triathlon to prepare for the special role of cheerleader on race day.

Children are welcome to join you at the race as long as you have someone who will take responsibility for them during the weekend. There are no childrens' rates at many international hotels, therefore their guest package price will be determined based on any discounts the airline/hotels may offer .
